  • Registrar - Requesting Colgate Transcripts
    prohibits exceptions to this policy Also it is our policy not to send partial or incomplete transcripts Thus transcripts for currently enrolled students will not be processed at the end of a semester until all grades have been received and posted and the student s GPA recalculated There is no fee for requesting a transcript Official transcripts are printed on special security paper and mailed in individual officially sealed envelopes regardless of the number of copies requested Students who no longer attend Colgate those who have graduated withdrawn etc can only obtain an official transcript Only active currently enrolled Colgate students may obtain an unofficial transcript Unofficial Transcripts Unofficial transcripts are available only to current students Students who have graduated or withdrawn are not eligible to receive unofficial transcripts Current students may access their unofficial transcript by logging into the portal Once logged in click on the Registrar s tab in the Banner Self Service portlet and choose the Get Unofficial Transcripts link Students may also receive an unofficial copy of their transcript from the registrar s office Students must present their Colgate ID when requesting an unofficial copy For information on requesting an apostille please visit our Other Services page Transcript Release Options Please read all options thoroughly to determine which option best suits your needs Regular Mail Print complete and submit the transcript request form to the Office of the Registrar by fax mail e mail must be scanned and attached or in person Transcripts are typically processed within 2 4 business days and are sent via USPS First Class mail There is a limit of 25 copies per week Electronic Copy This option is available to currently enrolled students and students who attended beginning in the year 1997 or later Print complete and submit the transcript request form to the Office of the Registrar by fax mail e mail must be scanned and attached or in person The recipient box on the form must include the e mail address to which the electronic transcript notification should be sent Due to system constraints recipient e mail addresses may not be longer than 30 characters An e mail notification is sent informing the recipient a transcript is available for pick up at a unique URL contained within the message Transcripts are not sent via e mail only the notification of where the transcript resides and how to access it in a secure manner Because of the use of e mail to transmit the message concerning the URL and the fact many legitimate messages do not at times get through aggressive spam filters it is important the requester notifies the recipient they are sending an electronic transcript that will be announced by an e mail asks the recipient to add the domain escrip safe com to their safe senders list Hard copy Express Mail Print complete and submit the transcript request form to the Office of the Registrar by fax mail e mail must be scanned and attached or in

    an instant electronic degree verification through the National Student Clearinghouse for a fee Alumni can also request a verification of degree through the registrar s office at no cost Processing time for requests through the registrar s office is 2 4 business days Requests may be emailed to registrar colgate edu faxed to 315 228 7125 or call 315 228 7408 Third party vendors Please verify all degrees using the National Student Clearinghouse Verification of enrollment Current Students You can print a free enrollment certificate from the Colgate Portal After logging into the Portal click on the Registrar s tab then select Enrollment Verification This option is free of charge to students These enrollment certificates can be saved or printed instantly Please note that this is a secure website separate from the Colgate University portal For assistance with Student Self Service contact the Clearinghouse at service studentclearinghouse org or call 703 742 4200 On the NSC website you will have the option to view your enrollment status for the current term or your entire enrollment history multiple terms of enrollment You ll be able to verify upcoming semesters after registration for that term Parents If you need proof of enrollment for your student there are two ways ways to obtain the verification For an enrollment verification of current and or prior terms you may 1 have your student log into their Colgate portal to access the National Student Clearinghouse to avoid paying a fee or 2 for a fee directly access the enrollment verification through the NSC www studentclearinghouse org Note The NSC charges a fee for each verification requested and requires you to set up an account Both options will allow you instant access to print and save an electronic verification Third Party Vendors Organizations or agencies must request

    weeks for delivery Rush service fee is 55 2 3 weeks for delivery Send your request directly to the Office of the Registrar Mail Office of the Registrar Colgate University 13 Oak Drive Hamilton NY 13346 Fax 315 228 7125 E mail registrar colgate edu request must be scanned and attached Requesting an Apostille Are you sending your records outside the country and need an apostille for your transcript diploma and or verification of enrollment The sole function of the apostille is to certify the authenticity of the signature on the document How Do I Obtain an Apostille or Authentication You must request your official transcript diploma and or verification of enrollment from the Office of the Registrar and indicate you need an apostille The registrar s office will certify that the document is an official record of the original document and will have the document notarized by a Notary Public on campus This may take 2 4 business days after the request is received The document will then be mailed to Madison County Clerk s Office in Wampsville N Y where the clerk is qualified to certify the signature of the Notary Public Finally the clerk s office will mail the document back to the student The document must then be presented by the student to the New York State Department of State for authentication In order to process your request the registrar s office at Colgate must receive A brief note to the Madison County Clerk s office explaining what is needed why it is being requested and what country will be receiving it The appropriate Colgate form and fee if applicable Note If you have your diploma you may make a photocopy and send the photocopy to the registrar s office rather than requesting a replacement diploma

    the requirements in the current Colgate Catalogue Consult the many Colgate resources available to you as you choose a new academic adviser Chair of the department or director of the program in which you intend to major Your current academic adviser Your administrative dean If you are not sure who your administrative adviser is you should contact the Office of the Dean of the College 315 228 7426 or 315 228 7368 Lynn Waldman Director of Academic Program Support and Disability Services 315 228 7375 The Office of the Registrar staff 315 228 7676 Faculty directory Meet with the faculty member whom you ve selected as your new academic adviser in your intended major Here are some issues you may want to discuss with your new academic adviser when completing the declaration form Are you considering a second major or minor Are you planning to complete requirements in a professional training or certification program Are you planning to participate in an off campus study group What are the requirements for honors or other awards in your department program Review your What If audit with your new adviser and complete the declaration form see links above Obtain appropriate signatures new academic adviser and department chair program director Submit the form to the registrar s office by the appropriate deadline Second Major or Minor No more than two majors or one major and one minor may be recorded You must complete a separate declaration form for each Second majors or minors must be declared no later than the withdrawal deadline in the fall semester senior year Please also note that students must declare a major before they can declare a minor Occasionally two separate majors may have some overlap of course requirements In this case a course may be used to satisfy requirements in two majors when at least seven of the courses completed in fulfillment of e ach major are unique No more than two courses used to satisfy requirements for a major may be used to fulfill minor requirements as well If the primary major requires cognate courses which must be taken but which are not actually considered part of the major these cognate courses may be counted toward the second major or the minor Advanced Placement and Pre Matriculation Credit Students in the Class of 2018 wishing to claim any pre matriculation including AP and IB credit must submit the required materials to the registrar s office no later than April 1 2016 or the credit will be forfeited We encourage you to take care of this quickly Please check your transcript to verify that you have received credit for any AP IB exams or college courses that you took prior to matriculating at Colgate You may view your Colgate transcript online through Banner Self Service in the portal click on the registrar s tab in the Banner Self Service portlet and choose Get unofficial transcripts or come to the registrar s office with your Colgate ID to request
