    voting are not permitted Subsection C The President of the Bach Society shall act as the presiding officer during meetings top ARTICLE V OFFICERS Section 1 The Executive Board of the Bach Society shall consist of the following officers President Vice President Treasurer Secretary and Webmaster Chorus and Orchestra Managers may be appointed at the discretion of the Executive Board Subsection A The President of the Bach Society is the chief executive officer of the Bach Society The President shall be responsible for the organization of concerts and events sponsored by the Bach Society reservations of venues for rehearsals and concerts and acquisition of scores and parts The President shall act as the presiding officer at all general meetings of the Bach Society Moreover the President shall act as the official representative of the Bach Society to the Columbia University community Subsection B The Vice President of the Bach Society shall be responsible for the public relations of the Society The Vice President shall make all public announcements regarding concerts and events sponsored by the Bach Society In addition in the President s absence the Vice President shall act as the presiding officer at general meetings of the Bach Society Subsection C The Treasurer of the Bach Society shall be responsible for all financial matters of the Society The Treasurer in consultation with the President shall construct an annual working budget for the Society The Treasurer shall be responsible for maintaining all financial records and shall periodically present financial reports to the membership of the Bach Society during Board meetings The Treasurer shall also be responsible for performing all financial transactions when required on behalf of the Society in an efficient and timely manner Subsection D The Secretary of the Bach Society shall record the minutes of Bach Society meetings The Secretary shall publish the minutes and collect them in a journal to be presented at the end of the year The Secretary is also responsible for all publications of the Bach Society including concert programs program notes and articles The Secretary must also maintain records and history of all motions introduced during Board meetings Subsection E The Music Director for the Bach Society shall be chosen through a two step process When a Music Director gives notice to the Executive Board that he or she plans to step down from the position preliminary interviews will be conducted by the Executive Board to evaluate potential candidates Once the candidates have been narrowed down each will be required to conduct a rehearsal for chorus and for orchestra Finally the Executive Board will determine the electoral process by which the votes of each member of the Bach Society are counted Section 2 The Music Director of the Bach Society shall oversee all performance activities of the performance ensembles of the Bach Society The Music Director shall select the repertoire for the performance ensembles in consultation with the Executive Board and conduct all rehearsals and concerts of the Bach Society The Music Director

    Club Sports Governing Board vi Plan activities and events for the club B The duties of the President and the Vice President are as follows i Represent the club on the Club Sports Governing Board and act as a liaison ii Request gym time for each semester and summer and email the schedule to all members iii Know the contents of the Club Sports Representative Handbook iv Make sure the club has an up to date constitution v Maintain equipment supply including shuttlecocks racquets and nets Order shuttlecocks when the supply is low and order club racquets and nets when needed vi Respond to e mail inquiries about the club C The duties of the Treasurer are as follows i Collect dues and waiver release forms with the secretary at the beginning of each semester Ensure that all members have paid their dues ii Keep records of dues expenses donations and receipts iii Meet monthly with the Club Sports Director to ensure the ledger is updated and accurate D The duties of the Secretary are as follows i Work with the treasurer to collect waiver release forms from all members and submit them to the Club Sports Office ii Maintain a list of all current members of the club and maintain the club mailing list iii E mail sudden schedule changes and regular updates to members iv Respond to e mail inquiries about the club 2 There shall also be two non executive positions Team Captain and Webmaster A The duties of the Captain are as follows i Represent the team at all tournaments ii Coordinate registration transportation and lodging for tournaments iii Coordinate with if applicable coaches to develop a strong team iv Develop any interclub matches and make arrangements v Announce tournaments to all members B The duties of the Webmaster are as follows i Develop and maintain the club website ii Post announcements practice and tournament schedules tournament results and photos 3 All executive board positions must be held by full time undergraduate students 4 There must be at least three officers on the executive board 5 The captain must be a full time student in order to represent the club at tournaments 6 The non executive webmaster position can be hold concurrently by officers in the executive board and it should be held by no more than two members 7 The executive board may create non executive positions and committees as needed Article VI Elections 1 Elections will take place during the Spring semester in March or April 2 Members may nominate any member for an executive position as long as he or she meets the requirements for that position All present members may vote The candidate with the most votes wins the position The executive board will break ties 3 The newly elected executive board will assume position the following year but will begin working with the current executive board 4 Any member may assume a non executive position with the approval of the executive
