    May 8 2015 Dear Campus Community Please see below this week s strategic planning process updates On Wednesday the Strategic Planning Consultant President Emerita Jolene Koester visited CSUSB for her fourth official strategic planning event Dr Koester met with the individual Working Groups along with the SPAC Co chairs to discuss their respective proposed draft strategies She also met with President Morales Vice President Douglas Freer and the SPAC Co chairs about the strategic planning process At the end of the day Dr Koester met with SPAC members to prepare for the Town Hall meeting the Working Groups progress and next steps e g finalizing strategies and discuss the implementation plan Additionally we hosted another Community Member breakfast yesterday to present our proposed draft strategies and gather their feedback This meeting was broadcast to the PDC and 34 members were in attendance at both campuses The Community Engagement and Partnerships Goal 4 WG Co chairs also attended the meeting to hear community member s reactions to our proposed strategies Community members were very pleased to see their feedback incorporated into the draft strategic plan and complimented President Morales and the strategic planning process The Town Hall meeting took place yesterday afternoon in the Events Center which was also broadcast live to the PDC There were 67 participants in attendance in addition to 23 unique IP address viewers Meaningful feedback was received that SPAC and the Working Groups will analyze and consider as they finalize their strategies Please see attached presentation made by SPAC and Working Groups yesterday at the Town Hall meeting SPAC would like to sincerely thank ATI CMS Pfau Library SMSU Events Scheduling PDC Catering and everyone else who made our Town Hall yesterday a success They would also like to express their gratitude to the attendees for taking the time out of their busy schedules to provide useful feedback Remember that this draft Plan is developed with your input in mind so we appreciate your continuous engagement in the process Working Groups met today to discuss the feedback from the Town Hall and to below The WGs convened today and have been hard at work all week finalizing their draft objectives and strategies before they present their work at the final strategic planning Town Hall Meeting next week The WGs and SPAC will be meeting with our consultant President Emerita Jolene Koester on Tuesday and Wednesday next week to discuss their progress The WGs are looking forward to sharing their draft objectives and strategies and getting feedback next week The Town Hall meeting is scheduled for Thursday May 7th from 1 pm 3 30 pm You can attend in person at the SMSU Events Center or the live Campus Open Forum and to review the draft objectives and strategies Comments and questions from last weeks forum are posted on our website It is not too late to submit your own comments please use our survey The pressure is on as the WGs have less than two weeks left until they present their finalized draft objectives and strategies at the Town Hall Meeting on May 7th SPAC tasked the WGs today to fine tune all their work thus far by revising their objectives matching their strategies to their respective objectives and by providing baselines with anticipated target dates where possible The WGs below The Strategic Planning Campus Open Forum was held on Wednesday this week with 51 colleagues attending at the San Bernardino and Palm Desert campuses and accessing the live web stream Attached is the presentation the Working Groups made during the Open Forum In addition the WGs convened today to continue working on their drafts of strategies associated with objectives tied to their respective goals The Working Groups are making significant progress on the strategic plan They are working diligently on drafting and revising their Strategies in response to the comments and feedback received at this week s open forum They are well on their way to ensure a final draft is submitted to SPAC by May 15th Again when SPAC receives the Working Groups draft objectives and strategies they will spend the last couple of weeks in May reviewing them and creating a final draft Plan which will be presented to President Morales by June 1st If you haven t already please remember to save the date 10 2015 Dear Campus Community Welcome back We hope you had a restful Spring break Coinciding with the beginning of a new quarter the Strategic Planning process has started up once again with vigor Listed below are this week s updates On Tuesday the Communications Committee met to discuss a roll out plan to disseminate the finalized Strategic Plan to the campus community We will be utilizing multiple mechanisms including web social media videos and hard copies SPAC met on Thursday to discuss the Working Groups progress to date and upcoming meetings We remain on schedule to have a final draft presented to President Morales by June 1st Lastly the Working Groups met today and made good progress on their draft Strategies They will present their revised objectives and draft strategies at the Campus Forum next week Working Groups will continue to meet every Friday through May 15th at which time they present their final versions to SPAC for their review Remember we are in the home SPAC and the Working Groups Listed below are this week s strategic planning process updates On Monday the Strategic Planning Consultant President Emerita Jolene Koester visited CSUSB for her third reactions to our proposed objectives Later that morning was the Town Hall meeting in the Events Center which was also broadcasted live to PDC Over 70 participants were in attendance in addition to 43 unique IP address viewers Helpful and constructive feedback was received that SPAC and the Working Groups will analyze and consider as they progress with the next iteration of Objectives and continue     phases to build a proposed budget associated with the strategic plan Phases of Assembling the Strategic Plan Budget Estimates and Future Expectations Phase 1 Following up on the May 2015 Town Hall meeting beginning in July and continuing through mid August 2015 the SPAC Co chairs met with campus leaders whose knowledge and expertise closely matched with goals objectives and strategies of the strategic plan The purpose of the meetings was to establish our first cost estimates associated with each goal objective and strategy of the plan Phase 2 The estimates obtained were vetted with members of the central administrative leadership and academic leaders Their feedback was reviewed and budget revisions occurred Phase 3 On two separate occasions in September the Strategic Plan Implementation budget estimates were presented at the University Budget Advisory Committee UBAC meetings Responses from the meetings were considered and resulted in further refinements of the proposed budget Phase 4 Subsequent to the presentations to UBAC and in consultation with the Vice President of Administration and Finance budget team members SPAC Implementation Team SPAC IT members revised the proposed budget and presented the estimates to various constituents of the campus community for review and comment SPAC IT sent the budget estimates to the Vice President Council VPC the Academic Affairs Council AAC Student Affairs management leadership and other units on campus for review and comment College deans presented it to department chairs and presumably department chairs shared it with faculty members Responses were used to make refinements to the estimates Phase 5 On 13 October SPAC IT sent an email with a link to a survey to the campus community for responses to the budget and requesting campus community members students faculty staff and management to review the budget associated with the strategic planning implementation plan and comment accordingly The survey closed 5 00 p m Thursday 22 October 2015 The survey had two purposes First SPAC IT wanted campus constituents to share their opinions about the proposed strategic plan budget allocation Second SPAC IT wanted to know what campus divisions departments or units should have the responsibility of implementing the goals objectives and strategies given the budget estimates Responses were collected and data analyzed with further adjustments prepared for presentation at the Academic Leadership Retreat on Thursday 29 October 2015 where SPAC IT yet again asked colleagues to review the proposed budget and suggest effective strategies to implement key elements of the strategic plan Phase 6 Following the retreat CSUSB leadership continues to review comments from the survey and leadership retreat and will adjust budget estimates and allocation accordingly Future expectations The measurement of progress toward our five strategic goals and related objectives is basis to the success of our strategic plan To measure our progress toward our goals and objectives CSUSB will develop a dashboard with clickable tabs that chart performance of our goals and objectives Tabs will be updated monthly quarterly and yearly for formative and summative evaluation by campus leadership For instance Academic
