    approved thesis or dissertation 4 Defend the dissertation and make any changes requested by your committee after the defense or if you are completing a Master s thesis make all final changes requested by your Thesis Advisor 5 Obtain final signoffs Show the final version with the last changes to your thesis advisor or dissertation director obtain his or her approval of the final version and ensure that school or college procedures are followed Both you and your advisor or director should also sign the ETD Access Approval Form and you should submit it to the in your college or school 6 Doctoral Candidates Only Complete the School Approval or Certification Page which is included in the Dissertation Style Guides and goes in your electronic dissertation right after the title page fill in the date of your dissertation defense and the names and titles of the members of your research committee correctly spelled Please use the GW Online Directory for names and titles Please note only include your dissertation director s and the two readers who are members of the core research proposal committee on the Certification page 7 Take care of other preparation for graduation tasks Be sure you have a completed all course work required for graduation b applied for graduation c registered for the semester in which you will graduate d paid any unpaid GW bills e updated the address to which your diploma is to be sent on GWeb and f Register and complete the Survey of Earned Doctorates Doctoral Candidates only online or in hard copy and submit to your graduate studies or doctoral program office and the online Student Graduation Survey This survey opens approximately one week after Spring Break each year 8 Convert your thesis or dissertation to pdf You need to convert your manuscript to a single Adobe pdf file Supplementary files such as data sets oversize pages etc may be added as Supplementary Files in any format If you do not already know a method for doing so there is an easy to use converter at the ETD Administrator site that you can use once you log in if the text of your dissertation is in Microsoft Word or RTF format You can just upload your file s to the converter utility and you will receive an email with a link to the pdf file s which you can then save to your computer Please note that there can be a considerable delay in the email with the link to the PDF being sent to you during periods of peak activity If your dissertation is not in Microsoft Word or RTF format the ProQuest page entitled Creating PDFs provides options for converting Native Postscript and TeX LaTeX files to PDF format In addition the computer labs on both the Foggy Bottom and Mount Vernon campuses have Adobe Acrobat XI Professional edition available for students to use to convert their manuscripts in Adobe PDF format For more information on the availability of

    your discipline The Gelman Library System offers use of RefWorks an online tool for organizing your research and creating bibliographies for free to GW affiliates 3 Get Permissions to Use Others Works If your dissertation includes extended quotations published scales or tests or other materials owned by others be sure you have sought permission from the author s ProQuest provides a sample letter requesting such permission which you may wish to use It can be found in their guide Copyright and Your Dissertation or Thesis 4 Check your pdf When you convert your thesis or dissertation which you should write in whatever word processing program you prefer to a pdf file make sure to check it carefully page by page to make sure it came through correctly that no pages are missing etc There are tips on preparing manuscripts at the GW ProQuest ETD website note in these guidelines that you need to embed the fonts in your manuscript The tips include information on how to do this To avoid any confusion about which draft is the final one we strongly recommend that you submit only your final fully approved thesis or dissertation to the GW ProQuest website If you create practice account s please be sure to withdraw them from the ETD Website prior to your final manuscript submission 5 Recheck the Manuscript Review important parts of the dissertation such as the title page and abstract faculty name spellings and academic titles as well as what you entered on the ETD submission forms to make sure everything is complete and accurate Once your submission has been delivered to ProQuest you will not be able to make any changes to your manuscript 6 Completing Forms at Submission Site When you complete the About You Page at the GW ProQuest ETD website be sure to complete the item Future Mailing Address or you will not be able to move on to the next form Please provide an email address you check regularly so you receive current information regarding the status of your submission 7 Abstract You ll be asked to paste your Abstract into a box Abstracts are not restricted in length but only the first 350 words will be used in the printed material ProQuest produces Also please note that any italicized or bolded words and some special characters may require some special encoding to display properly This information is provided through a link adjacent to the Abstract field 8 File Size The body of your thesis or dissertation must be submitted as a single pdf file There are not any specific file size limits but if you are experiencing problems uploading your submission please contact the Library ETD Administrator for assistance 9 Supplementary Files You will have a chance to submit supplementary files along with your thesis or dissertation this might be data photographs multimedia files and so on 10 Open Access vs Traditional Publishing GW strongly recommends that you choose Open Access publishing when you are given a
