  • Molloy College: How to Start a Club or Organization
    for some accepted rules of order or parliamentary manual such as Robert s Rules of Order ARTICLE IX Elections Specify whether the officers are to be elected by majority vote or other means also specify who may vote and what special qualification each officer must fulfill to be elected State when elections are to be held and what positions will be elected ARTICLE X Removal and Succession of Officers Specify the reasons for which an officer may be removed from office also indicate what percentage of the membership must approve a motion to remove an officer and how much notice must be given to the membership before such a vote is taken The order of succession and procedures for filling vacancies should be specified here ARTICLE XI Amendments Specify how the constitution may be amended Include what percentage of the membership must approve the amendment and how much notice must be given to the membership for consideration of the amendment Copies of the constitution should be submitted to the appropriate governing body Responsibilities of the Executive Board Having familiarized yourself with your organization s constitution you should be aware of the specific responsibilities incumbent upon your position Of particular mention is the G P A requirement needed to assume leadership of and retain membership in student organizations You should always be attentive to your academic average and that of your membership Duties of the President Reside at all meetings of the organization and Know the proper procedure for conducting a meeting Be impartial Avoid expressing personal opinions Have a knowledge of parliamentary procedure Prepare an agenda for each meeting Check the minutes of the preceding meeting to make certain that you have not forgotten important business that should be discussed again or finished Begin and end meetings in a timely manner Attend or send his her representative to all meetings called by the M S G student activities coordinator each semester Understand and follow the constitution and by laws Set an example for your organization in fairness courtesy and obedience to rules Represent your organization or see that an individual is appointed to represent your organization at all campus meetings where representation is requested Carry out the organization s decisions and wishes even though you may not personally agree completely with the decisions reached Be familiar with all pertinent college policies and regulations and see that they are followed at all meetings and activities of your organization Keep your advisor informed of all meetings Make certain that he she is invited to all meetings and be certain that he she is consulted before making plans for special meetings and events Molloy College expects and requires that your advisor attend all organizational activities Know the duties of the other officers and help them in carrying them out See that a calendar is prepared for the semester s activities early in the semester Each organization should have a project or goal for the semester Call regular executive committee meetings and check with your advisor before each regular meeting Your advisor should attend the executive committee meetings which should include all officers Appoint committees to assist in getting things done to help spread the burden of work and to give others an opportunity to participate Do not try to do all the work yourself A good president assigns responsibilities to others It is his her role to follow up and check to be sure all the work is getting accomplished Total participation of all members makes for a strong organization Develop the habit of writing things down that you have to do before the next meeting Trusting your memory is a poor substitute for having a notebook Provide for orderly elections Consult with advisor Act as secretary and or treasurer in the event that one is not elected Duties of the Vice President Assume the duties of the president when the president is unable to carry out his her duties for any reason The vice president must be familiar with all of the duties of the president Be ready to assist the president in any way possible Assume and carry out all special duties that may be assigned to you by the constitution the president executive committee or members Attend all executive committee meetings and meetings of the organization Serve as an ex officio member of all committees Know and understand your organization s constitution and by laws Duties of the Treasurer The treasurer is responsible for all funds of the organization If the organization is M S G funded the treasurer along with the advisor are responsible for all expenditures Prepare a budget and have it approved by the organization s executive committee and membership Submit a tentative budget for the following year at the designated time in the spring semester to the M S G student activities coordinator and Office of Student Affairs Make certain the organization expends money in keeping with the approved budget and within the financial operating procedures Make a treasurer s report at each business meeting See that all bills are promptly paid Keep a record of all money handled both incoming and outgoing and indicate purposes for which the money was disbursed Have records available and in a condition for examination at any time Attend mandatory meetings called by the M S G treasurer when necessary Duties of the Secretary The president depends upon the secretary for information of an official nature which can be found in the records of the organization The secretary is the custodian of the permanent records of the organization and they must be kept in a complete and accurate manner A suggested outline follows a Give the hour day month place of meeting and name of presiding officer b State whether the minutes of the last meeting were 1 approved as read 2 approved as corrected if there were corrections list them c Give a statement concerning all reports read and the action taken on them d Record items discussed under

    issues programming ideas and materials The role of the advisor Serve as a resource for the student organization president and organization members Attend weekly meeting with president Attend all student organization events in accordance with the by laws Review student organization plans and provide insight and advice to help facilitate their success Help the organization evaluate the program activity and the process to emphasize the learning experience Assist the student organization president in the coordination and facilitation of organization business Help keep everything in perspective Share insights at meetings but avoid ownership Be aware of financial status of student organization And If you can t make a meeting or follow through on a responsibility let the other person know a s a p Constructive criticism should be viewed as such constructive and given as a suggestion Be sensitive to each other s personalities Don t always meet in the office The interruptions and atmosphere may not be conducive to the business you have to conduct When you need uninterrupted time just let thoser around you know Challenge each other to grow and develop Roles and Functions of an Advisor As an advisor you will play numerous roles while working with individual students and student organizations Mentor Mentoring can be defined as a one to one learning relationship between an older person and a younger person based on modeling behavior and on an extended shared dialogue Characteristics of a mentor can be Knowledge of the organization Enthusiasm for the organization and its importance A genuine interest in the organization and personal development of new members Warm and understanding in relating to students in all types of settings An active involvement in and support of the student organization An honest emotional rapport The available time and energy to give freely to others The time to stimulate others to extend themselves intellectually emotionally and professionally Supervisor There are many similarities between supervising and advising Team building Work with the president and executive board to establish relationships that will enhance the ability of the organization s leadership members and advisor to work together Performance planning Write position descriptions expectations and set goals Expectations should be developed early discussed openly agreed to and reviewed periodically Goal setting is important for knowing that work will be required at various times of the year what positions need to be filled and what finances will be committed Communication Verbal and non verbal You should be knowledgeable about several written forms of communication as well as electronic communication and home pages on the internet Recognition You need a knowledge of student emotions characteristics and backgrounds to respond effectively in unexpected situations Self assessment Have students complete a verbal or written self assessment of how they are progressing in their position This allows students to reflect on programs their skills their involvement in the organization and their responsibilities Formal Evaluation Opportunity to provide feedback to the organization or individual members Teacher The purpose is to broaden a person s understanding
