  • Student Involvement and Career Center - Student Organization Registration
    the following rights and privileges on campus enjoyed by recognized student organizations on campus General use of facilities classrooms Student Center Malcolm X Plaza lawn areas at little or no cost Some specialized venues such as the Gym Creative Arts facilities and the Seven Hills Conference Center do have costs associated with them The ability to request financial subsidy and other services from the Associated Students Incorporated ASI Information for how to request funding from ASI can be obtained by contacting ASI directly The right to use the University as a mailing address for the organization Student organization mailboxes provided maintained by SICC and are located on the first floor of the Student Services Building SF State email and web account Eligibility for Annual Dean of Students Leadership Awards Back to Top How to Re register a Student Organization Student leaders and advisors of organizations complete the registration process using OrgSync during the specified registration period each semester For the fall 2015 semester the registration deadline is September 30 2015 The spring 2016 semester registration period is January 25 2016 to February 29 2016 Spring registration is only for new organizations and those organizations that missed the fall registration period Detailed instructions for how to register a student organization are below Step 1 Make sure the organization meets all requirements outlined above before starting the registration process Step 2 The President should log in to OrgSync under his her personal account For people that do not already have an OrgSync account go to the OrgSync Login site and click Sign In with your Campus ID Once logged in to OrgSync click on My Memberships or Join An Org in the purple bar at the top right of the screen Once on the Organizations for SF State or All Memberships screen you must request to join the portal you are taking over or click on that organization s name in your My Memberships button Once in the portal for the organization a previous Administrator to the portal must grant your account Administrator access as well After your account recieves the proper level of access the following message will be at the top of the screen Your attention is needed A community administrator has requested that you update this portal s profile Click on the button that says Update Now to update the organization s profile If that message is not there go to Settings in the portal s menu bar on the far right side to get to the Organization Settings The Organization Profile is what needs to be updated in order to re register the organization Enter all required information and click FINISH at the end of the form Enter all required information including 6 registering member s email addresses and click FINISH at the end of the form on the third page Step 3 Once the president clicks FINISH on the third confirmation page from step 2 above an automated email from OrgSync will be sent to the officers

    All permits are listed under your Organization portal s forms menu option SICC only works with current organization officers listed on the student organization registration form who have attended a Student Leader Orientation SLO Click here to see a map of designated tabling areas General guidelines Permits are available on the Thursday prior to the week you want the table Actual tabling is permitted Monday Friday when Fall and Spring semester classes are in session Tabling and Outdoor events are not permitted during dead week the last week of classes each semester finals week summer winter and spring breaks If the University is closed for any reason tabling outdoor events are also cancelled not permitted Fines may be incurred for damaged SF State property used during outdoor events The student officer department representative filling out the permit is responsible for informing the organization department of the relevant University policies and procedures including Time Place and Manner http www sfsu edu sicc conduct All tables and chairs must be placed on the cement sidewalks not on the grass areas Use of the grass areas requires matting that includes a University grounds fee Procedured to aquire a tabling permit Visit Orgsync com to request a tabling permit All permits are listed under your Organization portal s forms menu option Complete the SICC tabling permit If doing a fundraiser complete all sections outlining the following purpose for the fundraiser items to be sold or given away and how the funds collected will be utilized Complete SICC food permit if food is to be sold or distributed as part of fundraiser Wait for approval email and print it out using the appropriate method explained during the SLO Once approved tabling is permitted in the assigned zone If tabling in an unnassigned zone said table will need to be moved to an appropriate zone if applicable Back to Top Student Involvement Career Center Career Event Grant Looking for a way to fund a career related program or event sponsored by a student organization If yes the organization is encouraged to apply for a Career Events Grant from the Student Involvement Career Center The Career Events Grant program was created to encourage recognized student organizations to plan or assist with career related programs in collaboration with the Student Involvement Career Center A limited number of grants will be awarded during the fall and spring semesters For more information visit the Career Events online form Back to Top Department Assistance Co sponsorship Student organizations sometimes request help from various University offices and departments Requests should be made at least 2 4 months in advance since a department may need three to four weeks to make a decision on a funding request You should have all funds transferred into your account prior to any actual expenditures Planning Steps Develop a well planned budget for your event Identify elements that would be of direct interest to another department Speaker honoraria basic publicity audiovisual videotaping and room set up costs

    for new initiatives events and programs that support the enhancement of student life at SF State Back to Top WHO IS RESPONSIBLE FOR COORDINATING THE GROUP S PARTICIPATION The contact person for each group plays a critical role in the group s successful completion of its Partnership contract His her time commitment is typically five hours per week The contact person is the sole liaison between the student group and the Partnership Coordinator a staff member with SICC It is the responsibility of the contact person to understand and disseminate all Partnership guidelines including read all Partnership guidelines thoroughly schedule group hours ensure the quality of group work hold group members accountable review the Partnership homepage regularly for updates correspond frequently with the Program Coordinator track the number of hours the group has worked understand how and when transfers occur Contact persons must meet all the commitments for the duration of the contract semester If it is necessary to find a substitute contact person arrangements must be made in conjunction with the Partnership Coordinator Back to Top WHAT ARE THE DEADLINES Partnership proposals must be submitted by the appropriate deadline Below are the upcoming application dates APPLICATION SEMESTER APPLICATION DEADLINE FUNDING FOR Spring 2014 March 31 2013 Spring 2014 Fall 2014 October 31 2014 Fall 2014 Spring 2015 March 31 2015 Spring 2015 Fall 2015 October 31 2015 Fall 2015 Back to Top HOW DOES AN ORGANIZATION APPLY In order to participate in the Partnership a representative from the organization must attend a mandatory Student Life Partnership workshop see details on the SICC Web site or meet with the Director of SICC Representatives need to attend this mandatory workshop or meeting only one time each academic year The completed application must be submitted to the Student Involvement Career Center by the deadline When the application is approved the organization will be contacted by the Partnership Coordinator In the event the application is not approved the Partnership Coordinator will communicate with the group The contact person from the student organization is responsible for coordinating the group s participation Please note that opportunities to participate are limited and e mail sign ups are on a first come first served basis The Partnership Coordinator can answer questions about sign ups and or group participation Twice a semester The Student Life Partnership Fund will transfer the organization s earnings from completed sessions to the organization s ASI account Alternatively funds may be disbursed through reimbursement or payment of invoices through SICC Compensation is entirely dependent on the quality of the group s work Back to Top WHAT ARE THE FUNDING CRITERIA The activities for which funds are sought are expected to be consistent with the academic goals mission and standards of the University Funds must be sought for a specific program or activity scheduled during the application semester or for the following semester Back to Top PARTNERSHIP FUNDING CATEGORY PRIORITIES A Programs and activities planned during the application semester or for the following semester

    not permitted at student organization sponsored events on the SF State campus or any related properties Furthermore student organizations should not serve alcohol at events off campus However if students choose to attend events where alcohol may be present visit here for safety tips Back to Top Campaigning Campaigning for candidates who are running for city state or federal political office whether in person or on leaflet is prohibited as a part of any classroom activity or other academic program Time shall not be provided to representatives of any political candidate during regularly scheduled classes or under other circumstances where access to students is made possible by their attendance of regular academic functions Back to Top Cash Handling If your organization is handling cash at your event please follow these guidelines Use a secured or locking cashbox Always have at least two responsible individuals handling cash Count and deposit money immediately following the event If you are expecting larger sum of cash contact University Police Department to discuss possible security needs 415 338 7200 Back to Top Contracts Student organizations cannot enter a contract using SF State s name and or representing the University Before signing any contract be sure you have read all its previsions and understand what you and the other party are agreeing too Your signature on an agreement even if signed on behalf of a student organization means that you as an individual could be held personally liable for any legal or financial issues that may arise Seek advice from SICC if you are unsure about any term or condition in the agreement Make sure the event is approved and facility reserved prior to signing a contract Do not commit yourself or your organization to an arrangement until the agreement is in writing Verbal agreements can be legally binding Be sure any attachments exhibits appendices etc mentioned in the contract are attached to the document you sign Do not pay for services or products before they are received Do not pay by cash or personal check Back to Top Copyright All media in the SF State library including Hollywood features foreign features instructional programs and other similar titles may be used only in authorized SF State courses with the instructor present or by individual students and faculty members in viewing booths for regularly scheduled class requirements Media may not be copied by the staff of the University or publicly performed on the SF State campus outside of a class even though they are owned by the University The copyright law requires a separate license agreement to be obtained before libraries student organziations residence halls and other campus groups may use these materials during non classroom activities or events regardless of whether admission is free or paid All materials in the library s catalog videotapes videodiscs DVDs and 16mm films of all subjects and categories are available to SF State faculty for SF State use only Copying of these materials or off campus use at another institution
