    not consistent throughout the year the pro rata percentage to full time shall be calculated on an annualized basis 3 Any regular employee with an assignment of 0 5 FTE or greater and employed before 07 01 83 shall receive vacation leave in accordance with the policy in effect at the time of that employee s employment as long as that employee has not been involved in a personnel action i e promotion demotion transfer etc Any personnel action which takes place on or after 07 01 83 and which does not result in the employee s changing position status exempt remains exempt nonexempt remains nonexempt shall result in the employee receiving vacation leave in accordance with the above Number 3 except that the employee shall not receive a reduction in vacation leave allowance Any change in position status which takes place on or after 07 01 83 and results in the employee s changing status nonexempt to exempt or exempt to nonexempt shall result in the employee s receiving vacation leave in accordance with the appropriate accrual as defined under Vacation Allowances Process 1 The department head or designee shall be responsible for scheduling vacations to allow for adequate staffing to meet the departmental work load This scheduling may specify periods during which some or all employees may not take vacation leave 2 The department head or designee shall be responsible for accurately reporting vacation leave usage The official record for vacation leave balances will be maintained in the University s centralized resource information system These records shall be available for review by the employee the Associate Vice President of Human Resources the Human Resources Office of Employee Relations or other authorized University officials Accrual and Recording 1 The vacation allowance shall be accrued on the basis of either

    a full time equivalent FTE of 0 5 or greater is entitled to regular pay on a holiday 3 When an employee is scheduled to work on a holiday which falls on a Saturday or Sunday that Saturday or Sunday shall be considered the holiday for purposes of granting equivalent time off 4 When an employee is required to work or is normally off on any University holiday equivalent time off with pay shall be granted on another scheduled work day within a specified period of six weeks at the convenience of the department Departments with special scheduling and staffing problems may extend this period with the approval of the department head and the Human Resources Office of Employee Relations 5 An employee who is in an unpaid status on a scheduled day immediately before or after a holiday shall not be paid for the holiday 6 An employee on authorized vacation leave shall not be charged vacation leave for a holiday that occurs while the employee is on vacation leave 7 Special holidays bonus days may be granted by action of the Board of Trustees or the President Special holidays shall be taken in accordance with a schedule as arranged by the departments within the period of time outlined by the President A department with special scheduling and staffing needs may schedule the bonus days at the department s convenience as close to the bonus days as possible and preferably within six weeks but no more than 12 weeks Only employees who are employed prior to the cut off date established by the President shall be eligible for the special holidays 8 An employee whose retirement occurs during a special or regular holiday period will receive that special or holiday pay Note Department heads are encouraged to be sensitive

    course may be taken during work hours with approval by your supervisor and department head You must make up your missed time within the same work week which may include taking only a half hour lunch break or changing your starting and or ending times Employees of other Kentucky postsecondary institutions may use Faculty and Staff Tuition Waiver Program Form For Non UK Employees requires Acrobat Reader or a tuition waiver form from their employing school Where applicable Murray State students must complete and submit a Murray State tuition waiver form Plan availability The program is available for classes taken for credit at the University campus any of the KCTCS institutions i e Community Colleges and Technical Colleges Eastern Kentucky University Kentucky State University Morehead State University Northern Kentucky University Western Kentucky University the University of Louisville or Murray State University The tuition waiver is not available for audited non credit continuing education or community education courses Payment of the Employee Education Program Please be aware that the Employee Education Program waives tuition and activity fees only Any other fees course and or program fees books or expenses related to the class are the employee s responsibility Graduate level waivers in excess of 5250 00 per calendar year are subject to tax For more information regarding taxable EEP benefits click here New Fall 2010 A graduation exemption can be requested for a one time exception to exceed 8 hours in a given semester in the employee s final 12 months prior to finishing their degree The Academic Advisor must document the employee is in his her final 12 months of study With approval employees may take up to three courses up to nine credit hours in one approved semester during this twelve month period not to exceed eighteen credit hours
