    fill out one form for each domestic and international mail since each requires different classes of postage and handling procedures 3 Please read the directions on the forms and fill them out completely As you enter the departmental charge account number the form will automatically build a scanable bar code onto the form Mail Services will scan this code into the metering machine as we process your mail This is how we will charge your department for postage used 4 You MUST use these forms when sending mail to Station B Post Office to be metered 5 Mail that is not accompanied by these forms will be returned to the originating department If you get pick up deliveries mail will not be picked up unless it has the correct form attached 6 You will need to use one form for domestic metered mail and one form for international metered mail You can not use one form for both classes of mail 7 International mail sent over with a domestic metered mail form may be processed as domestic mail If so it will go out and be promptly returned to us from the USPS because of insufficient postage which will delay your mail piece s 8 All international mail weighing over 13 ounces must be accompanied by a completed and signed customs form PS form 2976 or PS form 2976A 9 If you have questions please contact Station B Post Office at 2 2934 Metered Mail Form This form is completed as follows Date Date of service Requested By Name of person preparing mailing Requesting Dept Name of department where mail originates PMB Box Departmental location Phone No Telephone number of preparer Center Departmental account number and object code Download Domestic Form Download International Form Back Home GO Faculty Staff Addressing

    The last two lines should always be the physical street address and the city state and ZIP code Always use a directional for instance NW for Northwest be sure to use this because there may be more than one Main St Apartment or Suite Number The correct apartment or suite number helps to ensure delivery to the right location This should go above the address or below the name of the recipient City State and ZIP Code This should always be the last line below the physical street address To find the correct spelling of a city name or to find a ZIP code visit http zip4 usps com zip4 or call 1 800 ASK USPS Using the correct ZIP code helps to direct your mail more efficiently and accurately It also helps to use the correct plus 4 code Mailing Supplies Supplies and forms for USPS Express Mail Priority Mail Certified Mail and Signature Confirmation are available free of charge at the Station B Post Office and the Peabody satellite office at The Commons Center While you are not required to use the free envelopes and boxes you are required to use the USPS address labels for Express Mail and certain other services Station B sells only 10 envelopes for personal mailing however the Vanderbilt Bookstore sells all types of envelopes and shipping supplies Separating Mail Mail will receive faster processing through Vanderbilt University Mail Services if it is separated into bundles Foreign mail should be clearly marked and separate from domestic mail or campus mail Registered certified insured and other special service mail should be bundled separately Self stamped or pre stamped mail should be separate from mail needing metering or campus mail Metered Mail All metered mail should be separated into bundles international domestic special services and

    Properly addressed Campus Mail is delivered to your department mailbox within 24 hours or next business day Campus Mail is for any mail pertaining to Vanderbilt business Campus Mail may not be used for political or personal correspondence Campus Mail Procedures Campus Mail should include name department and PMB number Mail Services sorts all mail by PMB numbers Campus envelopes should be used for all mailing to Vanderbilt university central offices The envelopes are available in a variety of sizes from Procurement and Disbursement Services The orange and brown campus envelopes should be reused until all address spaces are filled Address spaces should be used in numerical order Please be sure to cross out other names as you put in your information The gray envelopes may also be used Each department should establish a central location where envelopes may be kept for redistribution The large campus envelopes should be sealed only in the case of confidential correspondence and then by only using tape The small gray envelopes may be sealed with the adhesive flap Large size campus envelopes should be used only for items that can t be folded White envelopes first class envelopes with printed departmental return addresses should never be used for campus mail Cash valuables gift cards credit cards etc should NEVER be sent through campus mail for any reason Cash valuables should always be hand delivered in person ONLY If you choose to send cash valuables through campus mail it will be at your own risk VU Mail Services will not be responsible for cash valuables sent through the USPS or campus mail Fragile items should never be sent through campus mail without prior approval or authorization Back Home GO Faculty Staff Addressing mail PMB locator codes Metered mail Incoming mail Outgoing mail Campus mail Postage
